1. Introduction
This is the privacy policy of Sally Kilner Pilates (hereafter referred to as ‘I’).
I value your privacy and I am committed to protecting your personal information. This Privacy Policy outlines how I collect, use, and protect your data when you use my services, website and communicate with me.
By using my service, you agree to the collection, use and disclosure of your information as described in this Privacy Policy. I may modify this Privacy Policy from time to time. Your continued use of the Service constitutes your agreement to any updated Privacy Policy on a prospective basis.

2. Personal information I collect about you
In order for you to attend my Pilates classes you need to provide personal data about yourself on an enrolment form. This includes your name, address, phone number, date of birth, email address, emergency contact details, and the disclosure of relevant medical information and emergency contact details.
3. How I use information collected about you
Personal contact details are used to communicate with you via email, phone, WhatsApp or text to manage my Pilates classes and services including:

Sending emails including information about the service I provide, responding to enquires or queries, the Pilates schedule and block booking information;

Payment processing to ensure transactions are secure and acknowledging payment;

Send further support including relevant follow up emails, purchasing equipment;

Deliver content to you via email or online channels i.e. pre-recorded Zoom classes;

Send you marketing communications (depending on your chosen preferences);

Analyse how the service is being used for improvements; and

Legal compliance complying with legal obligations and resolving disputes.
Medical Information is collected on the enrolment form. Follow up medical information may be disclosed by yourself via other communication channels or face to face prior, during or after class. It is essential as a Pilates teacher I am aware of health conditions or injuries that may affect your ability to exercise or your performance. This information is used to tailor and modify Pilates to suit your medical, injury and/or health needs. This information needs to be accurate and as current as possible. Therefore, medical updates can be provided by other communications for example, email, text or WhatsApp and face to face.
Your medical information will not be disclosed with anyone unless I have to share them on a need to know basis (see below ‘Sharing your information’).
Record keeping includes:

A register of all clients planning to attend and attended a class;

Session plans and programmes linked to individuals and group classes; and

Consent forms to use success stories or photographs for marketing purposes.
Reviews or success stories requested are voluntary to write. Their purpose is to share your experience of my service with others’ and / or a photo that will be displayed on or in marketing communications, a website, social media, newsletters or other. You will be asked to read and choose your marketing preferences before signing a consent form for sharing and this proof of consent. The consent form will be stored in accordance with data storage (below).
4. Sharing your information
I may share your information:
With trusted Body Control Pilates teachers or other qualified Pilates teachers on a need to know basis, for example teachers covering my classes. This is to ensure the safe practice of Pilates is delivered and it is appropriate.
For legal compliance if required to do so by law or in accordance with an order of a court or competent jurisdiction, or if I believe that such action is necessary to comply with the law.
With the emergency services, for example, paramedics or ambulance crews, if an accident was to occur.

5. Your Privacy Rights
You have the right to:

Request a copy of the personal data I hold about you;

Correct any information or inaccurate or incomplete information I hold about you;

Change your personal information at any time;

Decide at any time to pause or withdrawal your Pilates journey with myself;

Decide if you would like to keep receiving information about my Pilates; and

Opt-out of receiving marketing or Pilates communications from me.
6. Data Storage and Disposal
Storage The enrolment form will either be a paper copy [hard] or electronic [soft] copy. Paper copies are locked in a location only accessible to me. Electronic copies are stored safely on a computer that is password protected and only accessible by me.
Personal information, consents and other record keeping information will be stored for a period of 7 years in accordance with my Insurance (Balens).
Disposing of soft or hard copies of personal information When disposing of a physical record, pages will be shredded. When disposing of an electronic copy from computers, with the intention of destroying it, I will make sure its longer available or usable by myself or anyone else including deleting it from recycle bins.
7. Children’s privacy
My service does not in general address anyone under the age of 18 (“Children”). I do not knowingly collect personally identifiable information from children without the permission of a parent or guardian and that you are aware that your child has provided us with personal information.
